Administrative Assistant

General Summary of Responsibilities: This is a highly responsible and professional position.

Qualifications: Two years of secretarial or clerical work experience. College education can substitute for one year of work experience. Vocational/technical training in the area of secretarial science or office/business studies can substitute for work experience. The following knowledge, skills, and abilities are preferred:

  • Knowledge of administrative principles and practices
  • Knowledge of office procedures and practices
  • Knowledge of principles and techniques of effective communication
  • Excellent organizational and communication skills
  • Computer proficiency, including the use of standard software (word processing, databases, e-mail) and the use of the internet
  • Ability to type and file documents
  • Ability to compile and distribute reports
  • Ability to proofread and organize work
  • Ability to utilize problem-solving techniques
  • Ability to collect, evaluate, and analyze data relating to administrative functions such as accounting, personnel, purchasing, or report writing
  • Time management skills and problem solving abilities
  • Ability to work independently and with team

Specific Responsibilities: In addition to the responsibilities listed below, the Administrative Assistant may be assigned other tasks as deemed necessary by management. The Administrative Assistant is expected to perform the following activities:

  • Prepare, monitor and maintain correspondence for executive
  • Review and distribute incoming mail
  • File, maintain, and arrange for storage of documents
  • Retrieve or reproduces documents, records, and reports
  • Remove or destroy out dated materials in accordance with file maintenance schedules or legal requirements.
  • Analyze operating practices and procedures to create new or to revise existing methods
  • Prepare, maintain, and ensure the accuracy of office confidential records
  • Plan meetings and prepare meeting agendas, participate in meetings, and maintain notes/minutes of meetings
  • Represent executive at meetings and on telephone
  • Coordinate executive activities and maintain own and executive’s time/schedule
  • Assist with conference planning as needed
  • Schedule and plan company training and activities as needed
  • Study management methods to improve workflow, simplify reporting procedures, or implement cost reductions
